Creating a session or an event on Eggmed

Easily create and manage sessions and events to organize your schedule and maintain a balanced, conflict-free calendar on Eggmed.

In Eggmed software, it's essential to understand the difference between sessions and events to best manage your schedule:

  • Sessions: These are appointments set with clients, who will receive notifications and reminders about these meetings. Sessions are client-centered and help keep both you and your clients on the same page.
  • Events: Events are for personal or internal use. They can be used to block off times for seminars, personal tasks, or meetings that don't require client involvement. Clients won’t be notified about these events, as they’re meant solely for organizing your calendar.

How to create a session

  1. Go to the Schedule tab.
  2. Click on the Create button in the bottom-right corner, then choose Session from the options. Alternatively, you can click directly on the desired time slot on your calendar to start creating a session.

Once you choose to create a session, a slide-out panel appears for detailed session setup.

1. Choose a client:

Select an existing client from the dropdown or add a new client if needed. For more details on how to add clients, [check this article].

2. Select Service and Location:

Choose the appropriate service from your predefined options. For more details on how to manage services, [check this article].‍

Specify if the session will be Online or In Person:

  • Online Session: This will be hosted directly on Eggmed, and your client can join through their Eggmed account.
  • In-Person Session: The session is conducted face-to-face at your location.

3. Require Prepayment:

If you want clients to pay the session fee upfront, select the Require Prepayment option.

Important: Ensure you have set up your payout method in Eggmed to activate the prepayment feature. For more details about payout, [check this article].

4. Select Date and Time:

Choose the session’s date and time. The dropdown will only display available time slots based on your working hours and any existing sessions or events to avoid scheduling conflicts. Learn more about managing conflicts and working hours.

5. Set Frequency for Recurring Sessions:

You can create recurring sessions, a helpful feature if you meet clients on a regular basis (e.g., weekly or monthly). You can set up sessions to repeat daily, weekly, or at custom intervals. For example, you could schedule a session every Tuesday at 3 PM or every first Monday of the month. This setting reduces the hassle of creating identical sessions one by one.

6. Add Tags and Notes:

To better organize sessions, add relevant tags (e.g., "Follow-Up" or "Consultation") and any notes for context or preparation.

Creating Events

To create an event on your Eggmed calendar, follow these steps:

  1. Navigate to the bottom-right corner of the Schedule tab.
  2. Click on the Create button and select Event from the options.

Once you select Event, a slide-out panel appears with event customization options.

1. Availability Checkbox:

Check this box if you want to block off this time so that no new sessions can be scheduled during the event. This option is especially useful for personal or internal events, ensuring uninterrupted time on your calendar.

2. Event Name:

Enter a descriptive name for the event (e.g., "Team Meeting," "Personal Appointment").

3. Date and Time:

Specify the event's start and end date and time. You can also set up recurrence options if the event repeats on a regular schedule (e.g., weekly, monthly), similar to the recurring session setup.

Finally, add any relevant notes or details about the event for context.

Setting up events allows you to block personal or professional time that doesn’t involve client sessions, helping you manage availability and avoid scheduling conflicts. Following these steps will help you seamlessly organize sessions and events for a balanced, conflict-free calendar on Eggmed.
